Starting point.

Poscom Ferien Holding AG’s Ferienverein (holiday club) runs hotels in the Swiss Alps, and resorts on the Mediterranean for sport, spa and family holidays. The holding is characterised by its individually-run holiday hotels, personalised hospitality and regional presence. Poscom Ferien Holding AG sets great store on Swiss values which also played a role for Jürg Ruch, Head of Finance, Swiss Hotels, Poscom Ferien Holding AG, when looking for a new IT service provider. The approximately 317,000 overnight stays per year require a stable and highly available IT, so the demands on the future cloud partner were high: three months for implementation, a complex software environment and 50 satisfied employees at the holding’s site in Bern and in the Swiss hotels.

 

“Unplugged”: cloud migration in three months.  Before making the switch to the cloud, Poscom Ferien Holding had its own server solution at their Bern site. Only the Protel hotel software ran on an IT service provider’s external server. In 2015, the service provider terminated the server and offered an alternative that unfortunately wasn’t sufficient to meet Poscom Ferien Holding AG’s needs. The company only had a few months to make the switch to a new solution: “We were forced to react quickly as the plug was literally being pulled”, says Jürg Ruch. After receiving tenders from several cloud providers, the company eventually chose Bechtle, for three reasons:

 

"First of all we needed the security that the IT would work and that we would be able to quickly get support in the event of an issue in one of the hotels.” As the organisation had none of their own IT admins, they had to rely on the reliability, experience and skills of a professional service provider. As head of finance, the second reason for Jürg Ruch was costs: “It was critical that we got value for money. If we want to integrate our overseas hotels into the cloud, money shouldn’t stand in our way.” The third and most important reason for deciding on Bechtle  was the need for fast implementation. “The new partner had to have the resources and expertise for such a time-sensitive project. We were convinced that Bechtle would be able to realise the project as we wanted.”

The new cloud was ready on Day X. Poscom Holding AG was not disappointed. The new cloud was ready for use on 1 October 2015 - three months after Bechtle was awarded the contract. “Everything worked perfectly”, recalls Jürg Ruch. “The solution was up and running by Day X leaving us with only the fine-tuning.” Jürg Ruch knows from experience that this is to be expected , especially with such a complex structure. Several hotels across Switzerland and an extensive application landscape make migrations complex and require a tailored solution. Alongside classic software (such as a salary system, ERP, etc.), specialised programs such as the Protel hotel software or the DaVinci reservation system data are utilised.

Process.

Several hotels across Switzerland and an extensive application landscape make migrations complex and require a tailored solution. Alongside classic software (such as a salary system, ERP, etc.), specialised programs such as the Protel hotel software or the DaVinci reservation system data are utilised.

 

Test access provided reassurance. In order to prevent any nasty surprises, Poscom Ferien Holding AG were able to check all their applications in the cloud with a test account. “The test access gave us the reassurance we needed that all of our tools would work perfectly on 360° desktop”, says Jürg Ruch.

And what did the employees think about the solution? “There’s always some scepticism when something we know is replaced by something new, but we had got employees on-board in advance and seeing as the solution worked without any problems, any scepticism quickly melted away.”

One reason for employee satisfaction is the external Citrix access and the performance of 360° desktop. “You have no idea if you are working in the cloud or on-premise and data transfer speeds are outstanding.” The holding is also using 360° sharefile and the tool for data sharing was met with great approval according to Jürg Ruch: “I can absolutely recommend 360° sharefile. We share large files, images and brochures without any issue whereas before, we always had problems sending them via e-mail. The marketing department in particular is delighted.” Poscom Ferien Holding AG also has a 7-day a week support contract. Jürg Ruch is impressed with the service desk’s expertise: “Issue resolution, no matter if it’s via e-mail or phone, is always fast and excellent. If we have a problem, we know that Bechtle has the solution.”
