Also for raising the glasses Pernod Ricard is the perfect partner. The company is headquartered in Paris and is the second largest spirit and wine company in the world—in Germany, Pernod Ricard sits comfortably in the premium segment as the market leader with a turnover of more than 700 million euros. If you’re sharing an after-work drink, the company offers Havanna Club, Absolut Vodka, Ramazzotti, Jameson Irish Whiskey or the wine-based aperitif, Lillet. But Pernod Ricard’s business success also depends on their IT. Bechtle Cologne has many years’ experience in a wide variety of IT projects with its Competence Centre for document management systems—and they also advise Pernod Ricard. The companies began working together when Pernod Ricard was looking for a legally-compliant e-mail archiving solution to slot seamlessly into Entity Western Europe’s existing IT infrastructure.

 

Wide range of features. 

Bechtle presented a sophisticated solution with ELOxc journal archiving for Microsoft EWS in connection with the hardware-independent iCAS-WORM storage medium from iTernity which led to the next project step—the development of a company-wide Enterprise Content Management (ECM) system. Bechtle and Pernod Ricard Germany thus implemented the ELOprofessional Systems from ELO Digital Office for a comprehensive solution that stood out due to its wide range of features.

 

The first step was to introduce automatic invoice input with an integrated approval workflow. The solution provides for incoming invoices to be centrally scanned, automatically uploaded via ELO and compared with supplier master data from the ERP system. ELO can also check whether there is an order reference number in the ERP system, and; based on this information; can approve the invoice in a dynamic workflow that also happens in the ELO system. After the invoice has been successfully approved, all data relevant to the booking is transferred to the ERP system (JD Edwards), where the booking is completed. It is no longer necessary to manually transfer data or archive paper invoices because the scanned invoices are stored on the legally-compliant iCAS WORM-Medium.

 

To adequately meet the requirements of a modern working world, ELO is supported with a free App for iOS and Android, which can be accessed via a mobile device. In this way, employees can access archived content, participate in workflows and approve invoices wherever they are via tablets and smartphones.

 

Bechtle provided Pernod Ricard with the perfect audit-compliant e-mail archiving system in addition to automated, electronic invoicing processing with an approval workflow.

From Cologne across Europe.

What started in Cologne was later taken further by the spirit company—with Switzerland, the Netherlands, Belgium and Austria, in short, the entire Western Europe region of Pernod Ricard relying on Bechtle solutions. Their target for this year is to also integrate gin company Monkey 47, acquired in 2016, into the ELO. All five countries are working on their profiles, and all rely on the central IT in Cologne. The physical servers are provided by the Microsoft Azure Cloud. In the future, the SQL database server will also be run as SQL-as-a-service from the cloud.


We shouldn't forget that the system has wide-reaching effects on the way employees work. We knew right from the start that not everything was running smoothly. The Pernod Ricard group, headquartered in Paris, is the second largest global spirit and wine enterprise. The group was formed in 1975 when the two French companies Pernod and Ricard merged. Pernod Ricard now distributes and markets spirits and wines in 85 countries around the world and has a total of 18,500 employees. Pernod Ricard Deutschland GmbH with headquarters in Cologne represents the group on the German market and offers one of the largest range of well-known premium spirits and wines. The company has made education one of the key components of its corporate strategy, campaigning against misuse and for moderate and responsible enjoyment of alcohol. Its core messages are clear—don’t drink and drive, no alcohol during pregnancy, and no underage drinking.
