Event App GmbH’s Mobile Event App Privacy Policy

Bechtle AG (hereinafter referred to as Organiser) would like to inform you about the type, scope and purposes of data collection and use when using our app.

Personal data

Personal data is defined in the General Data Protection regulation (GDPR). Accordingly, personal data means any information concerning the personal or material circumstances of an identified or identifiable individual. This includes, for example, your given name, address, phone number and date of birth.

The Organiser (temporarily) stores the following data each time the app is accessed: When accessing areas of the app with personalised or protected information, details required for registration and authentication such as the participant’s full name, e-mail address and password plus device-specific data such as IP address or IMEI number shall be collected and stored by the participants themselves or the Organiser. In addition, other personal data such as the app user’s company, position, phone number shall be supplemented or stored by the participant or Organiser.

Use of your personal data

As far as possible, anonymised or pseudonymised data shall be used. The collection, processing and use of personal data shall only be carried out for the purposes of providing app services such as digital on-site check-in or accessing saved information with regard to events attended, lecturer reviews as well as for the authentication of usage authorisations. The legal basis for processing of your data in this case is Art. & Para. 1(b) GDPR. If other processing purposes are foreseen, you will be expressly informed of this when you enter your data and, if necessary, will be asked for your consent, which you can, of course, revoke at any time with effect for the future.

How the app works

The Organiser offers all participants the possibility to access information regarding the event using the app. This can include information about the agenda, presentations, lecturers, participants, exhibitors, sponsors, event locations and messages from the Organiser.

Additionally, participants have the possibility, if necessary, to take part in surveys and prize draws and to send messages to each other.

When you fill in the competition form, we will process the data provided exclusively for the purpose of participating in the competition. The legal basis for data processing in this case is Art. 6 Para. 1(a and b), GDPR. All data required to complete the form is subject to the principles of data reduction and data economy, meaning you only have to provide the data that is absolutely necessary for running competitions and sending prize notifications. This includes e.g. your name and e-mail address. Mandatory fields are marked with a (*). Due to technical and legal reasons, we process your IP address. The other fields are optional and can be filled in if you wish. Without the information in the mandatory fields, it is not possible to enter the competition.

If you take part in a survey, your data shall be processed in order to conduct the survey and your e-mail address and full name shall be collected. The legal basis for data processing in this case is Art. 6 Para. 1(a and b), GDPR. Due to technical and legal reasons, we process your IP address. Without this data, you cannot complete the survey.

If you use the app to send another user a message, only the recipient shall be able to view this message. Third parties shall not be able to access the message.


Data retention

We will store your data only for as long as it is needed for the purposes it was collected. Please note that numerous retention periods require that data continue to be (must be) stored. This applies in particular to commercial or tax storage obligations (e.g. German Commercial Code, Fiscal Code, etc.). If there are no further storage obligations, the data will be routinely deleted once the purpose has been achieved.

In addition, we may retain data if you have given us permission to do so or if legal disputes arise and we use it as evidence within statutory limitation periods of up to thirty years; the regular limitation period is three years.

Access authorisations

We require these access options and information for the technical functionality of our app and for the provisioning of app services. Depending on the operating system, you can revoke access rights manually in the settings. Please refer to manufacturer notes on how this can be done. However, please note that the app can only be used with limited functionality or in fact, not at all, without the corresponding approvals.

Before using the app or its features for the first time with iOS and Android, the following authorisations are requested for the following purposes:

Authorisation / purpose:

  • Mobile data / Wi-Fi Downloading new app content via internet access
  • Background updates: Downloading content updates in the background
  • Photos: App user manually uploading photos to a photo gallery within the event app
  • Calendar: Manual transfer of programme data from the event app to the app user’s end device calendar.
  • Camera: Manual acquisition of event-specific QR codes by the app user, for example, to unlock protected documents or for participation in prize draws or to take photos that are then uploaded in a photo gallery in the event app
  • Contacts: Manual transfer of the contact data of a select participant from the event app to the app user’s end device contact list.
  • Messages: Receipt of messages from the Organiser
  • Location: Provisioning of location-related services, for example, your own location on a geographical map at event locations.
  • Twitter account: Direct sending and receiving of tweets in the event app

Usage statistics (Art. 6 Para. 1(f)) GDPR (with consent Art. 6 Para. 1(a) GDPR)

For the continuous optimisation of the event app’s functionality and usability as well as the information provided within the app, usage statistics are compiled, which the Organiser can view and analyse. These statistics include open rates and usage period of the event app and its individual features as well as the user’s mobile end device operating system.

Operating system providers

Within the framework of your smartphone’s terms of use, the provider (e.g. Apple Inc.) can collect, process and use data. Please take into account the privacy policies/settings of the respective providers. We cannot influence the data collected by your provider.

No data transfer to third parties

Data transfer to a third party does not take place unless we are legally obliged to do so or data transfer is essential for the execution of a contractual relationship or you have previously consented to the forwarding of your data. However, in these cases, the scope of the transferred data shall be limited to the necessary minimum. If our service providers come into contact with your personal data, we shall make sure that they also comply with data protection regulations.

We shall ensure that your data shall be handled in compliance with applicable data protection regulations and provisions. We guarantee that your data shall remain confidential and that all legally required technical and organisational measures needed for data protection are in place. We will never sell or share personal data with third parties. Your privacy is of the highest importance to us.

We do not (currently) transfer your personal data to a service provider or group company outside the European Economic Area.


We have taken comprehensive technical and operational security precautions to protect your data from accidental or intentional manipulation, loss, destruction or access by unauthorised parties. Our security processes are regularly checked and adjusted to technical advancements.

Changes to the privacy policy

We reserve the right to change this privacy policy at any time in accordance with applicable data protection regulations.

Your rights
We would first like to inform you of your rights as a data subject. as defined in Art. 15 - 22 EU GDPR These include:

  • The right of access (Art. 15 EU GDPR)
  • The right to erasure (Art. 17 EU GDPR)
  • The right to rectification (Art. 16 EU GDPR)
  • The right to data portability (Art. 20 EU GDPR)
  • The right to restriction of processing (Art. 18 EU GDPR)
