Public tenders involve some of the most demanding decision‑making processes in sales. Lengthy documents running to several hundred pages, a wide range of file formats and highly individual structures make thorough analysis both complex and time‑consuming. 

To meet this challenge, Bechtle has developed a tailored AI solution for tender management in collaboration with Planet AI. Based on Planet AI’s JAIDE architecture, the solution combines automated data extraction with dialogue‑based analysis and also draws on an archive of previously processed tenders. 

Relevant information such as deadlines, service requirements or liability clauses is identified by the AI and presented as structured suggestions with direct source references. At Bechtle, this allows tender managers to remain fully in control and can trace and review the results of the automated data extraction at every stage.

Greater efficiency and reliability in tender management.

Early use shows an extraction accuracy of over 90 per cent, enabling tasks that previously required several hours of manual analysis to be completed in a fraction of the time. Combined with human review, AI‑generated suggestions boost process reliability, which is a decisive factor in procurement‑related procedures. 

At the same time, AI‑driven tender management opens up new qualitative possibilities by identifying relationships between requirements, detecting implicit conditions and even supporting the drafting of tender responses or bidder queries.

Following the successful use of AI in the initial assessment phase, Bechtle plans to further expand its AI‑driven tender management capabilities, including CRM integration, automated document intake and international scaling. The goal is a seamlessly supported process from the first tender contact to final bid submission.
