“Where is the current loan file, actually?”

The loan file is partly stored in the file system, partly in the email inbox, and a few documents have been saved locally by someone else.
Documents are gathered together for an audit: from three drives, various emails and individual folders. Interim results are circulated by email, and queries come in by telephone.
In the end, there are several versions of the same file – but nobody knows which one is the most up-to-date.
If a colleague is on holiday or falls ill, access to crucial information is suddenly lost.
The process grinds to a halt, time is wasted and traceability suffers.

Every morning, incoming post is opened, sorted and distributed manually.
Documents are scanned, copied or forwarded via the internal post system. Some go straight to the right person, whilst others are left lying around or distributed multiple times.
Emails and digital messages arrive at the same time and are also assigned manually.
If the colleague responsible is on holiday, the post simply remains in the tray – or ends up with stand-ins who are unaware of the context.
Ultimately, there is no clear overview:
What has already been dealt with? What is still pending? And where on earth is the document at the moment?
