Challenge.

The main challenge of this project was to transform a heterogeneous and obsolete meeting room environment, composed of disparate solutions, without centralized support and sometimes limited to a simple webcam, into a modern and coherent ecosystem. The aim was not only to modernize the equipment, but above all to ensure a smooth, intuitive, and reliable user experience, regardless of the profile of the participants. The solution had to offer great flexibility, enable screen sharing with or without cables for both internal employees and external contributors, while ensuring perfect interoperability with major videoconferencing platforms such as Teams, Zoom, and Webex. In addition, there were key challenges in terms of ease of administration, operational support, sustainability, and scalability of the rooms in order to meet the organization’s current and future needs.

Solution.

The solution implemented is based on a structured and progressive approach, beginning with an in-depth audit of the meeting rooms in order to analyze the existing technical and functional aspects. On this basis, personalized support and advice enabled the selection of the videoconferencing solutions best suited to the customer’s uses, constraints, and objectives. The project then proceeded according to a proven methodology, incorporating a Proof of Concept (PoC) phase to validate the technological choices, followed by the build, run, and care stages. The services included the complete installation and configuration of the videoconferencing systems, the performance of operational tests, and the provision of detailed documentation and operating procedures, ensuring effective implementation and long-term operation of the solution.

This project has completely transformed our meeting rooms. Everything works smoothly, whether with a PC, Mac, or visitors’ computers. Screen sharing is simple, anyone can take control whenever they want, and remote participants can see the speakers perfectly. Adoption was immediate, maintenance is reduced, and the time savings are real.
