The challenge.

MBC’s business, transport, requires the implementation of communication tools suited to employee work setup. The majority of the teams are in the field, and everyone needs to be able to access corporate information, regardless of the device they are using and where they are. The information can be accessed on mobile terminals, fixed terminals or on screens in break rooms, for example.
Our Bechtle team was familiar with our client’s requirements, having previously completed M365/Teams training and the migration of their on-premise SharePoint to SharePoint Online. “We are neighbours, and my colleagues in the IT department had worked on previous projects with the Bechtle teams and were very satisfied with the relationship and the result. It was therefore natural for us to call on the skills of Bechtle’s experts to carry out this project to set up a new intranet,” explains Isabelle Duperrex.
The MBC intranet was outdated, little used and required the purchase of annual licences. It therefore made sense for our client’s teams to replace this tool with a modern, more suitable and more affordable version. This project is also part of a strategic approach for the company to provide all its employees with a portal for the distribution and consolidation of information with the aim of facilitating collaboration between everyone via a document sharing space. The automation of certain internal business processes was also an integral part of this project. Finally, it was necessary to transfer all the data from the old intranet.

The solution.

We proposed and presented the advantages of an intranet based on Microsoft SharePoint Online. Key Facts:

  • Data centralisation
  • Link between corporate communication and collaboration
  • Flexibility of pages and tools to meet a maximum of user needs. As well as the tools necessary for the successful implementation of this new intranet, namely native SharePoint and Powell intranet.

The MBC teams chose SharePoint Online, as this tool was already included in its Microsoft O365 licences.

Our Bechtle teams then proceeded according to our best practices, proposing a 3-phase approach:

  • Phase I: The design together with the implementation and configuration of the new intranet, workshops to define the platform and the configuration of the platform according to these decisions.
  • Phase II : Migration with the recovery of existing data and transfer to the new spaces, inspection of the migration, its execution.
  • Phase III : Support in implementing communication and training for the teams to get to grips with the new intranet, communication support for users, provision of an internal communication video to help with uptake of the platform (in support of the MBC internal communication service), and user training.

Our new intranet is the tool we needed to communicate better internally, saving us valuable time in sharing information and research. Moreover, we aimed to unite our teams through better communication on a centralised and more visible channel. And the way this project was conducted with Bechtle’s experts allowed us to bring together the needs of all our staff. Everyone was trained at the same time in how to manage the various mini-sites. Everyone now receives the same level of information, at the same time, generating cohesion and a stronger sense of belonging to the company.

Benefits.

“Thanks to our new intranet and the related communication tools, we can share information internally much more easily, especially as our employees are increasingly getting on board with it,” says Isabelle Duperrex.
Another benefit is that more people are now able to share information via our intranet. It is presented in the form of mini-sites, with each department having its own page for which it is responsible, while retaining the possibility of having a global view of all the news. In theory, all our employees can now access the same level of information, but as this project is still very new, we also need time to adapt. We know that we are on the right track, and we have put tools in place, including an explanatory video, with the support of the Bechtle experts so that each of our employees can make this new tool their own. In addition, we have decided to use our intranet page as the browser’s homepage for workstations and notebooks,“ says Isabelle Duperrex.
“Furthermore, one of the positive points is also the satisfaction of our colleagues. Before, our tools were obsolete, inflexible and could not be run on all devices. With this new platform, the feedback is very positive, a good majority has adopted it, information is quickly accessible, we have gained in efficiency and productivity. We are now continuing our internal communication efforts to unite the teams around our tool in order to strengthen the corporate culture,” concludes Isabelle Duperrex.
