Apotheken-Rechen-Zentrum (ARZ) Darmstadt supports some 2,500 pharmacies in Germany with prescription invoicing, using its IT to process several million electronic and paper prescriptions every month. To maintain high data protection standards, security and efficiency, ARZ partnered with Bechtle to migrate its systems to Microsoft 365. Together, they have established a modern, secure and scalable IT infrastructure which has optimised ARZ’s work processes.

Challenge.

When Apotheken-Rechen-Zentrum (ARZ) was looking to make its IT infrastructure fit for the future by switching to Microsoft 365, it wanted to do so during ongoing operations without any disruption and with the highest levels of data security. To make that possible, it was essential to carefully plan and coordinate communication and training with all stakeholders to ensure the transition went as smoothly as possible for all involved.

Solution.

Bechtle was on hand to provide operational support during the migration to M365, creating a detailed project plan and ensuring that all stakeholders were kept up-to-date during the entire process. ARZ’s 140 users were gradually moved over to Microsoft 365 with Bechtle analysing the existing IT structure, developing a cloud strategy and determining governance and compliance requirements beforehand. Bechtle successfully and securely rolled out new applications, including SharePoint and Teams, thanks to training courses and intensive user support. To make sure everything went smoothly, Bechtle held kick-off events during which the employees could get to grips with the new tools. All users received complementary documents to optimally prepare themselves for the switch and Bechtle consolidated all mobile devices into a management system and carried out pilot projects to test the use of M365 before the company-wide roll out. Bechtle handled all communication, held regular coordination meetings with ARZ and made sure that ongoing operations were not impacted.
